JOB PURPOSE: The Employee Orientation and Onboarding Coordinator is responsible for developing, coordinating, and implementing onboarding and orientation programs to ensure all new Head Start and Early Head Start staff receive a consistent, effective, and engaging introduction to the organization. This role ensures new employees understand their responsibilities, agency mission, and program standards while promoting long-term retention and performance.

RESPONSIBILITIES AND DUTIES:
  • Develops and facilitates structured orientation sessions for all new staff, ensuring compliance.
  • Collaborates with department managers to coordinate job-specific onboarding plans.
  • Creates and maintains onboarding materials.
  • Provides new employees with an overview of regulatory and safety expectations related to their roles.
  • Coordinates with HR and HS administrative assistant to ensure all documentation, background checks, and certifications are completed.
  • Establishes regular check-ins with new employees during their first 90 days.
  • Creates a mentor/mentee schedule.
  • Collects and analyzes feedback from new hires to improve orientation programs and inform continuous improvement.
  • Collaborates with program leadership to support employee engagement and reduce early turnover.
  • Works with leadership to ensure required training is delivered in a timely manner.
  • Tracks completion of mandatory training and certification during onboarding.
  • Ensures training aligns with the agency’s mission, Head Start/Early Head Start Performance Standards, federal and state regulations, and best practices in early childhood education.
  • Maintains accurate and up-to-date records of onboarding and orientation activities.
  • Ensures new employees understand confidentiality and sign all necessary agreements.
  • Coordinates with administration and center managers to ensure center-level orientation is conducted thoroughly and documented properly.
  • Develops and maintains a schedule for regular policy and protocol reviews.
  • Directs and oversees the implementation of periodic training sessions for center staff to ensure understanding and compliance with agency policies, procedures, and regulatory updates.
  • Collaborates with Center Managers to deliver consistent, agency-wide communication and training related to new or revised policies.
  • Ensures documentation of training completion is collected and filed.
  • Monitors adherence to agency protocols across all centers and follows up on areas requiring retraining or clarification.
  • Other duties as assigned.
SKILLS AND QUALIFICATIONS:
  • Experience in training, employee development, or onboarding is strongly preferred.
  • Must pass all required background checks.
  • Valid First Aid/CPR certification (or ability to obtain).
  • Strong organizational and interpersonal communication skills.
  • Ability to sit for long periods of time.
  • Ability to lift up to 20 lbs.
  • Sufficient mobility to travel between sites.
  • Dexterity for clerical tasks.
EDUCATIONAL REQUIREMENTS:
  • High school diploma or equivalent required.
  • Related degree preferred and/or Head Start/Childcare management experience of 5+ years.
